Early Diplom, Visa and other things

After the meeting on Sunday, i went to meet the dean to discuss about a few issues regarding the graduation.

(1) rehershal:

Due to the restriction of the venue hal usage, the student are only allow to use the hall from 10am till 2:30pm. Furthermore, committee are not allowed to visit the venue earlier to do any preparation work. So, everything seems like they need to be done impromptu. Thus, Idham proposed that we organised an earlier rehershal for the graduation few day before the real event to explain things in real details. This could make sure students knows what is going to happen exactly on the day of event. It also gives the committee more time to adjust the decoration, AV system and other arrangement on the day of the event itself.

So, i requested to use the lecture hall in our university for our rehershal before the event. Dean has been extremely helpful and he will soon let us know on which date the hall will be free for rehershal.

(2) Indian students’ Diplom:

For Indian students who needed to submit their diplom for state exam, as previously mentioned, the dean agreed to help you to obtained your diplom before the actual convocation day. Olga will get all documents reason and give to Rector for verification and signature. The date you will be getting your diplom will be on 30th of June (Monday).

However, please note a few requirements to obtain your diplom early:
(a) an written application with namelist – I have previously asked the students to take care of the matter themselves, but according to the dean, he DID NOT receive any written yet.

For this, i will be helping to write the application. I assume ALL indian students want it earlier, so i am going to put ALL your name into the list. If it is anything otherwise (if you dont need it early), please contact me before wednesday (28th May 2008).

(b) you will need to give your “obxodnoi list” to dekanat before getting your diplom. The “obxodnoi list” will be given to you on 6th June 2008 (the 1st day of examination, in University).

Please return all your books, and get signature from library, hostel on your “obxodnoi list” and submit it before 27th June 2008 (firday) to Olga. Else, you will not get your diplom early!

# regarding the stamping of the diplom, you will be given a letter by Olga to go to Ministry of Foreign Affairs. It is usually takes 15 days to be stamped. You will need to deal with Ministry of Foreign Affairs office BY YOURSELF if you need your stamping to be done faster! Dekanat are not responsible regarding the matter.

(3) For Malaysian who wants their diplom earlier:

Dekanat will approve this, if there is reasonable reason. (eg: you ticket is booked before 18th July, 2008). Otherwise, you will receive your diplom on 3rd July 2008. For those who need earlier diplom, please contact me directly. Else, i will assume no one needs it!

The condition to get your diplom is same as all other students. You must give your “obxodnoi list”. The “obxodnoi list” will be given on 6th June 2008 (as stated above).

(4) For those student who have not yet paid for the graduation, and has not send in the photos. Please do so immediately. The brochure and yearbook will be printed on this wednesday 28th May 2008.

(5) regarding visa of parents:

The university will ONLY handles visa registration of the parents who are going to stay in the student HOSTEL. 3 days upon arrival, they must submit their passport to the visa office in university for processing.

For parent who will not stay more than 3 days, they may be exempted from registering.

As for other parent who are staying in Hotels, the registration should be taken care by the staff of the respective hotel. Typically, there will be extra charges involved.

(5) as reminder for student who need to get measurement at the tailor. I will be bringing a group on next tuesday (27th May 2008 ) at 11am. Do not be late!

(6) For committee members. A meeting on graduation matter will be held on 29th May 2008, at 6pm. Venue 14th Floor Cooking Room.

  • 1000 : Student arrival at graduation venue – start short rehearsal
  • 1045 : Robes fitting
  • 1100 : Arrival of parents
  • 1115 : Arrival of VIPs
  • 1130 : Ceremony start
  • 1200 : Scroll-giving
  • 1330 : Speech by red-diplomers (1girl, 1boy – 5 min each)
  • 1350 : Hippocratic Oath by all students (10min)
  • 1400 : Close ceremony. Photo session (~30min).
  • 1430 : Dismiss .

    Update: About Graduation

    The date of the Gradaution is officially changed to 3rd of July. The reason, is bacause Moslanka failed to secure the booking for 1st of July as the hall is already booked by someone else.

    Also, there will be changes in schedule because we are only allowed to use the hall from 10am till 2:30pm.

    For those who are renting the robes, please give your measurement to the respective representative of your group. The measurements needed are
    (1) length from shoulder to knee (cm)
    (2) head circumference (cm)

    The robe company from St.Petersburg informed us that they might not be able to provide the renting service to us, because they are catering for another Unversity in St.Petersburg on 3rd July. However, the robe team will try to resolve the matter.

    Robe Sample: See the sample

    There will be a gathering for those who are buying the graduation robe at 6:30pm at 6th Floor (Lift Area) tommorrow (18th May 2008, Sunday).

    This is the only chance to voice your opinion about the robe, or if you think any adjustment is needed. So, please attend if possible.

    Hi to all,

    There’s some correction to be made regarding PHOTOGRAPHY issue.I listed down what will you get for PHOTOGRAPHY part.

    We had meeting with Palo,Russian photographer at M.Pushkinskaya,15th April 2008,and this is his offer for us :

    • 2 photo of receiving scroll 15x 21 (A5)
    • 1 batch photo. 20×30 (A4)
    • 1 hat throwing photo 20×30 (A4)
    • 8 ceremony photo 10×15 (A6)

    * 2 photographer will be incharged .All together : 400 rubles per person.

    Deposit should be paid in the middle of June.Pictures can be collected after one week.Please note that we’ll receive all the pictures in HARD COPY version,all in one envelope(without album).For those who need,want the SOFT COPY(CD/DVD) please don’t hesitate to inform us.

    Collection of Payments

    The students have agreed unanimously that collection of money shall start today till end of April. Here is the students responsible to collect money from you:

    (1) Russian Groups = Hisham Hamdar
    (2) India Students = A. Bubesh Kumar (group 615v) Room 10-13 Big
    (3) Malaysian Students = Yip Yat Keong (group 67) Room 8-08 small

    If there is any disagreement with the collector, please come to see me (yip) personally. Thank you.

    General Meeting 24 MAR 2008

    After the meeting yesterday, foreign students has agreed on some of the pending issue:

    (1) robe will be rented
    (2) year-book and brochure will be compulsory
    (3) souvenirs for university will be calculated as common fees

    Here is the calculated pricing of things:

    (1) robe = 950 rub
    (2) year book = 320 rub
    (3) brochure = 50 rub
    (4) souvenirs = 100 rub

    Other additional/optional charges:

    (1) bus = 80 rub
    (2) limousine = 600 rub
    (3) photography (prices still unknown)
    (4) video (to be decided)
    (5) food for guests (need to discuss with venue manager)
    (6) graduation party after the ceremony (taken care by Hishamhamdar)

    Other information:

    Please note that those who has not send in their photos, videos, quotes should do so by end of this week ( till 30th March 2008). Those who did not do so shall suffer the risk of not having their photos on the graduation slides.
