0930 Preparation

organising committee and student helpers will arrive at the venue and start preparations in the hall (testing projectors, sound system, set up table for registration)

1000-1030 arrival of parents

parents will arrive in between 10am – 10:30am. Once at Dom Uchenyii, the usher will direct the parents to the registration desk.

At the registration table, the parents will be given the brochure containg information about the graduation day and their seat number tag.

Then, the usher will show them the way to go up stairs to be seated in the hall.

1040 start video show

While waiting for arrival of VVIPs, there will be a 20 mins video show with pictures of students’ daily life, while studying.

1100 Arrival of VVIPs

The Emcee will annouce the arrival of VVIPs. Alll guests will stand while the VVIPs enter the hall. There will be an entrance theme music. The helpers will show the VVIPs to their seats. Once the VVIPs are seated, the music will stop and everyone will take their seat too.

1105 speech by VIPs

Emcee will invite Prorector of RSMU to take the stage.

Prorector will give a few words and then he will then invite the Rector to give the speech. Next, Prorector will invite other VVIPs (ambassador) to give their words of congradualation to the students.

Prorector will thank all VVIPs and then take his seat.

NOTE: as prorector, rector, akademic and ambassodor give their speech, the Emcee will translate them into english (or vice versa).

1140 Speech by Students of Different Countries

Emcee will then take over and invite 4 students from different country to give a few words. The students are as follows:

  1. Са Д Нидал (Израиль)

  2. Дотасра Амит (Индия)

  3. Наваратне Сашипраба Дуланжали (Ш-Ланка)

  4. Тан Кент Йеу (Малайзия)

the first 2 students will give the speech in Russian Language, while the other 2 will give their speech in English. The translation of their speech will be projected on the screen.

1200 Receiving scroll

Firstly Olga Konstantinova will be called to the stage by the master of ceremony. Olga will invite the The Rector to give out the diplome. Dean will be next to rector to pass on the diplom to Rector.

Olga will start calling out names students.

The first 7 students are the students receiving red diplome students. This is followed by students according to their country’s name in alphabetical order.

During the rehershal on 23rd June 2008, the students are already informed to get ready before their names are being called upon. To facillitate this, we arranges the students to sit in rows according to the sequence which their names will be called. There will be helpers who will make sure the students will line-up accordingly on the right side of the hall.

When a student’s name is being announced, a slideshow with the student’s profile will be shown on the screen. The student will walk up the stairs of the stage. Once on stage, he/she will pause shortly to bow to the rector. The student will first shake hands with the rector and then rector will give him the diplome while giving a few words of encouragements.

At this time, there will be 5 photographers (2 professional photographers and 3 students photographers) who will take photo from different angles. Rector do not have to worry about purposely posing for the photographers if he doesn’t want to.

Then the student will go down the stage on the left side, exit from the side-door and return to their seat through the back. (so that they will no block the view of the parents.)

(NOTE: list of students with their row of seat/positioning will be posted soon)

1300 Oath

Following the scroll giving ceremony, Emcee will invite student representative (Tan Keng Yew-Malaysia) to lead the others to take the Hippocrates’s Oath. All students will stand and raise their right hand. The students does not need to repeat the oath, but only need to say “клянус” in the end.

1315 Souvenirs giving

Next the Emcee will invite the Rector to receive a souvenir as a token of appreciation from the students. The souvenir will be given by the student representative (Tan Keng Yew).

1325 Photo session with VVIPs

The Emcess will then invite all students to go on stage to take batch photograph with VVIPs. The helper will show the VVIPs the place to stand, and the students will take their places around the VVIPs.

Once done, all students will go down in orderly manner from both left and right side of the stage back to their places.

1345 Closing ceremony. VVIPs go back

After the photo session master of ceremony will announce the departure of the VVIPs. The ushers will show the VVIPs to exit the hall. All students and parents will stand as the VVIPs exit.

After VVIPs left the hall, students and guests may freely take photos.

1400 Exit from hall

All students and guest will need to clear the hall. They can continue taking photo outside the hall.

1415 Hat Throwing Photo

All students will gather in front of the Dom Uchenyii Building to take a last photo of us throwing our hat into the air

Collection of Payments

The students have agreed unanimously that collection of money shall start today till end of April. Here is the students responsible to collect money from you:

General Meeting 24 MAR 2008

After the meeting yesterday, foreign students has agreed on some of the pending issue:

(1) robe will be rented
(2) year-book and brochure will be compulsory
(3) souvenirs for university will be calculated as common fees

Here is the calculated pricing of things:

(1) robe = 950 rub
(2) year book = 320 rub
(3) brochure = 50 rub
(4) souvenirs = 100 rub

Other additional/optional charges:

(1) bus = 80 rub
(2) limousine = 600 rub
(3) photography (prices still unknown)
(4) video (to be decided)
(5) food for guests (need to discuss with venue manager)
(6) graduation party after the ceremony (taken care by Hishamhamdar)

Other information:

Please note that those who has not send in their photos, videos, quotes should do so by end of this week ( till 30th March 2008). Those who did not do so shall suffer the risk of not having their photos on the graduation slides.

Regarding your Diplom translation, visa for parents

Report from Kantha and Raymond:

(1) Diplom translation

According to Olga, we need to submit the application form (attach in pdf below) with 700 rub to have our diplom translated from Russian to english by 11th of Arpil 2008. (note that the form requires the student to fill in the serial number of your high school result, eg SPM/STPM serial number which is located at the left-lower corner of the cert)

After we get our diplom from dekanat, we will need a stamp/chop from Ministry of Foreign Affiars (министерство инос. дело). She is not clear wether the dean office will handle this for the students this year, or the students will be handling it themselves. However, it is known that the processing time for getting the stamp from ministry of foreign affairs will taken a minimum of 15 days.

Regarding the stamps for recognition for practise in European Country which rumour says to cost few hundreds dollars, no information is provided by Olga.

Olga also says that students from each country should contact their embassy/local government regarding the other documents needed for working in their respective country.

(2) visa for parents

The person in charge for visa application say that the student need to give 4 documents for application of single entry visa for their parents or relatives:
(i) copy of parent/guest passport
(ii) copy of students passport and visa
(iii) application form (attached below as PDF files)
(iv) bank payment slips of 200rub (form is attached below as PDF)

(note: there is no mention of need for translating passport of parents)

after this, they will need a maximal processing time of 90 days, which the dean office will give the students an invitation letter for each guest. The guest will need to go to the Russian Embassy or consulate in their country with the invitation letter for getting the single entry visa. Processing time will be 5 working days in Malaysia. The visa will last for 3 months.

As for multiple entry visa, no info was obtained.

8th March 2008: Graduation Update

The 5th meeting on 2nd March marks a few decisions made.

(1) Date of Event is on 1st July 2008

The committee has confirmed that the Graduation Event will be fixed on 1st of July 2008 (Tuesday).

The committee have discussed with dean office, and comfirmed with Rector of RSMU about the date for Graduation Day. Earlier, we proposed 27th June 2008 because we used last-year event as a reference (which is held somewhere around 25-27th June).

However, the rector secretary who are responsible for organizing the “ученный совет” told us that the “ученный совет” is scheduled for 30th June 2008. The “ученный совет” is the meeting between all head of department of RSMU to listen to the report from Rector office about the students graduating this year. In this meeting, all department must state their agreement about the report so that our “диплом” can be officially stamp. That is why, graduation ceremony have to be done only after the “ученный совет”.

For the Russian Students, they will receive their “диплом” in a simple scroll-receiving ceremony (“торжественный мероприятия”) which is held on the same day (30th June 2008). As for foreign students, our graduation ceremony is not organised by the university, but held seperately on another day by the students. Previously, Moslanka has taken the liberty of organising the ceremony for the foreign students.

So, this year, the ceremony is scheduled on 1st July 2008 which is the nearest date possible after 30th June. We have made appointment with both Rector and dean as invitation to attend our ceremony.

For the students who want to invite their parents from other country, it is now safe to book the flight date that is suitable.

NOTE:
The committee has been informed by students from India that the date is rather late for them, because they will need to sit for state exam in India. This is why, they need their “диплом” to be stamped earlier in order to send it for registration of the state exam.

The committee had talked to the dean about this matter and he agreed to help the Indian Students to get their “диплом” stamped earlier. However, he will need the students to write to him a formal application.

Here, the committee advice the Indian Students to contact their own student leader to prepare and collect the application and send it to the dean. As such, we hope the the Indian students shall deal with this matter seperately.

(2) Payments

The committee wants to clarify that there is not fixed amount of payment for the event. We never asked for 200 USD from anyone and we hope that the rumour will stop. The payment you will be making is according to the list of items/services that you need/want.

At the moment, we are still discussing with M0slanka about their sponsorship for the event. They have generally agreed to sponsor:
(1) venue (at Dom Uchennii – same as last year venue)
(2) basic decorations
(3) basic AV system
(4) high-tea for VIP

As such, the cost that need to be covered by student are:
(1) additional decoration
(2) brochure printing for guest
(3) robes
(4) diplom folder & year-book
(5) photography

Optional items that student may choose:
(1) bus/limosine
(2) high-tea for guests
(3) photos & video DVD
(4) optional photography session
(5) dinner party

For the items, we will list the price on the website once available. The committee do not want to give a rough estimation of cost because we cannot promise anything before the vendor/service provider give us a price quote. We have previously quoted somewhere in between 100 USD for safe estimation, but we receive many negative comment asking us why it cost so much. Thus, we shall not speculate a price for u. If you want, you can speculate it for yourself, until a concrete price became available.

(3) Protocol / Tentative of Graduation Day

Here, i will explain in detail how is the flow of events planned for Graduation Day.

8:30 am Student shall start their journey to the venue

the committee originally planned for arrangement of busses for all students to ensure that no one arrive late at the venue. However, many students eventually told us that they might not be interested in such arrangement because:
(1) they rather take public transport and save some cost
(2) they would like to hire some other transportation which is more presentable (limosine)
(3) they do not live in the hostel, so unless the bus going to pick them up, it would be a double-trip
(4) they would like to go together with their family members

consider their reason, the committee agrees that we should not make it compulsory for everyone to take the bus service. The committe will now provide such arrangement instead:
(1) bus service and the price (if the total number reach at least 30 person)
(2) we will provide a small survey for contacts for limosine services and their prices

Anyhow, the committee strongly advice that all students arrive before 9am at the venue on time. We do not have the luxury of waiting for late-comers!

9.00 am Briefing & Rehearsal 

The rehearsal will be conducted mainly by the “venue team” and “multimedia team”. (The details of their planning will be published on the website soon)

11.00 am Arrival of Parents

Parents shall arrive on their own (no transportation arrangement from the committee). Upon arrival, parents are required to go to the register at the registration counter. At the counter, parents will be given a brochure (see sample posted on the website) and they will be personally directed to their designated seats by the event ushers.

11:30 am Start Video Show

To avoid parents getting bored, the committee will start a video/picture slideshow of students life in university, in Moscow, and while travelling.

11:45 am Arrival of VIP

VIP will arrive and be seated by event ushers

12:00 noon Start of Event – Speech by Rector, Pro-Rector, Dean, Moslanka (Other relevent officials)

The ceremony will be led by 2 emcees (Masters of Ceremony, one Russian Speaking and one english speaking. VIP will give their respective speeches.

12:25 pm Officiate of Graduation Ceremony by Rector

After all speeches, we will invite the Rector to officiate the event (the officiating ceremony will be discuss in next meeting)

12:30 pm Scroll giving ceremony

Next, the emcees will invite the VIP to give our scroll to the graduating students. Each student’s name will be called and a slideshow of the student biodata will be shown on the projected screen (see sample that will be posted by multimedia team).

Each student will receive a diplom folder and a mock-up scroll. Inside the diplom folder contains a 11 page year-book. (for the folder front-design, see sample published the website. For sample of year-book, please see the report publication team that will be posted soon)

Student Receiving Red Diplom will be the last to be called. They will remain in the stage afterward to recite the hippocrate oath on stage.

At the moment of receiving scroll, the committee will arranged for photographer to take photos for each students. Therefore, the guests are NOT ALLOWED to take photos during the event (The reason for this, is because during last year event, there is a crowd of guests that were standing up and taking photos. This not only causes the view of the people sitting behing got blocked, it also makes the crowd look very chaotic and unorganised. Nevertheless, it may seems like a disrespect for such a formal event). Guests however, are allowed to take photo during the photography session at a later time.

1:30 pm Hippocrates Oath Recitation

A student representative will recite the Hippocrates Oath in Russian while all student will echoed in Russian (saying “I do” in Russian). At the same time, a english version of the oath will be projected on the screen.

1:45 pm Speech from Students receiving Red Diplom

Students receiving red diplom will give a short speech. (If there is any time constraint, then only 2 representative from all red diplom student will give their speech – one male and one female). After this, Red diplom student may return to their seats.

2:00 pm Speech from representative of various countries

Student volunteers from each nationality shall take the opportunity to give a short speech. Those students who wish to give a short speech, please submit your name to the committee (any member of collaboration team).

2:15 pm Student Representative present Souvenirs to University

A student representative will give a souvenir to university

2:20 pm Closing Of Ceremony – Batch Photography, Photography & social session.

Emcees will announce the end of the ceremony and invite all student and VIP to take a batch photograph (batch photo = photo consist of all graduating students). Afterward, there will be 20 minutes of free-time for photography session with guests. At the same time, VIP will be around so that students may introduce them to their guests, take photos etc.)

2:45 pm High-tea session (VIP)

At 2:45pm, Emcees will invite the VIP to High-tea session. Event usher will escort them out.

2:50 pm High-tea session for Students and Guests

Later, students and guests will be led to a seperate high-tea area to enjoy their refreshments. (Note: the high-tea expenditure will be calculated into the payment for the students according to the number of guests accompanying them)

3:30 pm All graduates gathers for last batch photos

After the high-tea session, all students are asked to gather round for a last batch photo where we throw our hats!

3:45 pm End of Event

Student and guests shall leave in orderly manner. No transportation will be pre-arranged.

(4) Arrangements after Graduation Ceremony

Photography at designated location

For student who are interested to take graduation photo at outdoor location of famous places of Moscow (eg: Kremlin, Red Square, Biblioteka), seperate arrangement can be made for a junior to be attached to each group for photography. (to be discussed with photography team in next meeting)

Dinner Party Arrangement

For student who are interested to celebrate in a more relaxing manner, seperate arrangement can be made togather to have a dinner party. (to be dicussed in student meeting)

I visited the dean office today and here is the information i get from them:

appointment for director and dean on 27th June 2008 for graduation
>> dean office had agreed on 27th June for the ceremony. However, they will have to double-check with staff members and re-comfirm with me within 1 week time. Other choice of date will be 23,25,30th June. Main concern with the date is firstly wether not they can complete the official documents before the date of ceremony.

possibility of joining with Russian students
>> Olga told that foreign students ceremony does not mix in the past and foreign student department is not keen for joined ceremony because number of students are way too large.

>> We will need to invite all staff members of the dean office. That will be 15 of them. Besides, we will need to additionally invite few Moslanka and hostel administrations’ personnels

>> Dean office adviced for ceremony to start around 11am. They agreed that event generally ends at 3 (but this includes the Food). Special notes about Hipocrats oath: it will be in Russian and will be recited before scroll giving ceremony begins. It is to be recited by 1 student. The rest of the student doesn’t need to repeat after him but just to say”Klus” after each line. Regarding Red Diplom students, it is estimated to be 6 of them this year. As planned, after the scroll-giving ceremony, 1 male and 1 female from these 6 will give a short speech. (however, if more than 2 wants to say something, it should be arrangable. Additionally, Dean office had requested that student representative of each country to give a short speech too.
